Two of our boards are changing their term dates from expiring in the spring, to expiring in the fall. All current members need to be extended 6 months from their current term date (so their expiration will move from May 31 to November 30).
Step one – Delete Latest Appointment. Be sure to note
appointment dates, start dates, and download any attachments so you can
re-upload after making changes to the seat definition.
Delete Latest ApptStep two – use Edit Seat and unlock the seat
definition so you can change the Term Seed Date and Term Length.
Because the term was extended, we need to use Days instead of Years
to define the new term. Using an online ‘days between calculator’ to find the
number of days between your seed date and the date you want the term to end. In
this case 6/1/2025 – 11/30/2027. Click the checkbox to include the end date in
the calculation.
Term Extension Days Between CalculatorEnter the Seed date and number of days in the appropriate
fields below the lock icon. The Description field at the bottom can be
used to provide information about the changes – resolution number, meeting date
it was discussed, etc., if you choose to add information there.
Seed Date: 6/1/2025
Term Length: 913 Days
Term Extension Delete Appt Amend Term DaysStep three – Use Fill Seat to enter the member that
is in the current position. Remember to add any supporting documentation you
downloaded in step one.
Step four – use the seat drop-down menu and select Edit Seat.
Unlock the seat definition so the Seed date and Term length can
be changed one last time. For the seed date, enter the start date of the next
term and change the term length back to the original number of years. Because
there is a member in the seat for the current term, these changes will only
take effect when the next term begins, automatically resetting your seat back
to the original length.
